Private Lessons Scheduling Policy


The primary goal of our private lessons program is to provide a consistent and enjoyable lessons experience which allows our students to get the most out of learning.  Our program is billed on a monthly tuition basis (see pricing guide), in which the instructor and student shall make a mutual commitment to a regular agreed-upon weekly lesson time.

Scheduling:

The student (or parent / scheduling contact) will agree upon a regular weekly lesson time / duration with the instructor, that will reserve a continued space on the instructor’s roster of private students.  The regular lesson time must be within Monday thru Friday, subject to instructor availability. The student’s lesson time may be changed upon request at any point, going into effect the following calendar week from reaching a new agreed-upon time.

Students/families will pay a flat monthly tuition based on the lesson duration and number of active students in the household. Instructors will commit to weekly lessons at the regular lesson time indefinitely throughout the entire calendar year while the student is enrolled in the program, with exception to the following holidays where the instructor will have no obligation to provide lessons:

Music Flow Holidays / Lessons Recess Days:

New Year’s Day - Jan 1st (observed day)

Spring Break Week - Based on Bend - La Pine school calendar

Spring Recital Days - Estimated at 3 consecutive days TBA*

Memorial Day

Independence Day - July 4th (observed day)

Summer Week - 1 calendar week in either June, July, or August TBA *

Labor Day

Fall Recital Days - Estimated at 3 consecutive days TBA*

Thanksgiving & Black Friday

Christmas / Winter Break - Dec 24th thru Dec 31st

*Notes:

  • Spring recitals planning will attempt to NOT schedule a show on a Monday, so that regular Monday students may not potentially miss 2 lesson weeks in a row considering the potential proximity to Memorial Day. In the (hopefully rare) case a spring recital day must be on a Monday, the instructor will work with Monday-students to provide a lesson for this week, as opposed to a no-lesson recess day.

  • Summer:  The instructor will communicate a lessons recess/vacation week during Jun/Jul/Aug of his/her choosing by April 30th to the student.

  • Fall recitals planning will attempt to NOT schedule a show on a Thursday or Friday, so that regular Thu/Fri students may not potentially miss 2 lesson weeks in a row considering the potential proximity to Thanksgiving weekend. In the (hopefully rare) case a fall recital day must be on a Thursday or Friday, the instructor will work with Thu/Fri-students to provide a lesson for this week, as opposed to a no-lesson recess day.

Re-scheduling policy:

There will be no obligation to instructors or students to reschedule any particular lesson for a different time during the week, regardless of notice provided for scheduling conflicts.  That being said, the student or instructor can request / agree upon a new regular lesson time at any point that may be more effective going forward (going in effect the following calendar week).

Student Tardiness:

 Students who are not ready for their lesson within 10min of the scheduled lesson start time may forfeit the lesson, at the instructor’s discretion.

Student-Cancellations:

Tuition will not be credited if the student communicates the need to cancel, and/or is unable to attend the planned lesson time, for any reason, including illness.  There is no obligation for the instructor to reschedule student-cancelled lessons.

For student travel weeks, the student may request a virtual lesson to take place in lieu of in-person. However, this must be agreed-upon by the instructor.  Tuition will not be credited due to student travel.

Student Illness:

Students are expected to cancel the lesson if symptoms of illness are occurring.  The student (or parent of a minor student) shall make the initial decision if the student is feeling healthy and ready for the lesson.  If at any point during the lesson the instructor feels that the student is showing symptoms of illness, the instructor reserves the right to stop the lesson.

Instructor-Cancellations:

There is no obligation for the student to reschedule a planned lesson time if the instructor may not be able to attend and requests to do so.  In the case of an instructor-cancellation, the student will receive a tuition credit equal to 25% of the regular tuition rate per lesson cancelled by the instructor.

Make-up lessons policy:

Under no circumstances will the instructor hold make-up lessons for the student to use at a future point.

Inclement weather:

If the instructor deems it unsafe to travel to lessons due to weather conditions, the instructor will be willing to offer virtual / online lessons to students scheduled for that day in lieu of in-person.  The instructor is expected to provide as much notice as possible to students when it is determined that lessons will be virtual due to weather, to allow time for setup.

Multiple-Student Households:   

Many of the lessons we provide are for a household of multiple students, learning within a total lesson time slot.  In these cases, for billing and scheduling purposes we consider the lesson time slot as a single “family” time slot.  If an individual  student of a multi-student household cannot attend during a lesson time, the instructor will do his/her best to fulfill the full lesson time as best as reasonably possible for the remaining student(s) present.

Initial Enrollment:

The initial month of lessons will be prorated depending on which week the first regular lesson day falls on:

- If there are 4 or more available lesson days remaining in the initial month, the initial month’s tuition is 100%.

- If there are 3 available lesson days remaining in the initial month, the initial month’s tuition is 75%.

- If there are 2 available lesson days remaining in the initial month, the initial month’s tuition is 50%.

- If there is 1 available lesson day remaining in the initial month, the initial month’s tuition is 25%.

Discontinuing Lessons:

Students may choose to discontinue lessons by one of two points during any given month (or anytime prior to these points):

1. If the student provides discontinuation notice by the 28th day of a month, the student may discontinue as of the third week in the upcoming month, with 50% tuition being billed of the upcoming month.

2.  If the student provides discontinuation notice by the 15th day of a month, the student may discontinue as of the beginning of the upcoming month, without any further tuition billed.

Note:  If the instructor can no longer accommodate the regular lesson time, it is encouraged for the student and instructor to agree upon a new regular lesson time.  However in this case, the student has the right to discontinue the program immediately, and to receive a prorated credit/refund if applicable as determined by Music Flow.
